Position Open: Client Programs Coordinator

Mindfulness Northwest is seeking a new Client Programs Coordinator. Part of a small, tight knit administrative team, this position is responsible for all communication with organizational clients from the business, governmental, and non-profit worlds. Tasks include fielding inquiries, managing ongoing programming, and coordinating individual workshops and classes. The qualified applicant will have excellent communication and organizational skills, an ability to work independently and work well with others, a solid understanding of mindfulness, and a warm heart.

The position is largely work from home; generally 10-15 hours with a maximum of 20 (varies depending on client request load). Depending on location, some travel may be required. Initial trial period for training and evaluation. Unpaid vacation time flexible. No health benefits. Sick leave policy per WA state. This is an administrative, not teaching, position.

Applicants must be able to travel to sites in the Tacoma to Bellingham region as needed, although this is generally infrequent. Most of our organizational clients are located in Seattle.


The Client Program Coordinator coordinates the mindfulness programs Mindfulness Northwest offers to organizations. We serve non-profit organizations, governmental entities, medical centers, corporations, and many other groups throughout the region with workshops, classes, and speakers.

Desired Qualities, Skills, and Experience:

  • Excellent communication in writing and verbally
  • Comfortable learning new technologies (we rely on several)
  • Deep familiarity with mindfulness practice
  • Some background in marketing and sales
  • Organized self-starter comfortable working remotely
  • Practices active discernment around when to make decisions independently and when to seek input

Responsibilities include:

  • Responding promptly to all incoming client requests by phone and email
  • Working with client organizations to determine the best fit between our standard offerings and their needs
  • Consulting with the Executive Director as needed when custom or unusual programs or requests are made
  • Manage ongoing and one-time clients by scheduling and organizing events; coordinating staffing, materials, billing, communications, and publicity
  • Coordinating with core admin team peers to share resources as needed
  • Creating reports for clients reflecting attendance, activity, cost, and outcomes
  • Compose and distribute quarterly newsletter highlighting MNW's medical programs.
  • Work with admin team to create client events on MNW website
  • Outreach to potential clients
  • Manage pro bono program and clients
  • Inventory, order, and distribute client materials and supplies
  • Attend weekly Admin staff meeting, currently scheduled Mondays at 11am
  • May cover duties for other admin staff, including answering office phones and email
